Policies

We’re all about hands-on experimentation, innovation and collaboration, providing the digital manufacturing technology, tools and training for our community to learn and create. As a non-profit organization centred around accessibility, it’s our mission to create a relaxed, shared environment where members feel welcome and supported. 

 

Member Policy

These policies have been designed to ensure our members and staff can conduct their work effectively in a safe, clean and respectful environment. Abide by the Revelstoke Idea Factory (RIF) Code of Conduct and follow all directions of the RIF board members.

Violations may result in refusal of service and/or membership cancellation.

1. Membership, Access & Authorization

  • Memberships are purchased online and activate on the date of purchase.

  • Members must also hold an active Revelstoke Visual Arts Centre (RVAC) membership and key fob; key fobs may not be shared.

  • Only authorized, trained members may access and use RIF facilities and equipment.

  • Members may not grant access to unauthorized individuals.

  • Memberships may be suspended or revoked for policy violations.

  • Membership cancellations must be completed online through the membership portal.

2. Code of Conduct (Respect for People & Property)

All members, guests, staff, volunteers, and visitors must treat one another with courtesy and respect.

Prohibited behavior includes, but is not limited to:

  • Assault, threats, harassment, discrimination, bullying, or sexual misconduct

  • Aggressive, abusive, or intimidating behavior

  • Theft, vandalism, misuse, or unauthorized removal of RIF or member property

  • Creating unsafe conditions that endanger people or property

Violations may result in refusal of service, suspension, or cancellation of membership.

3. Safety & Fitness for Work

  • All activities are undertaken at the member’s own risk.

  • Members must complete required safety orientations and equipment-specific training before use.

  • Do not work while under the influence of alcohol, drugs, or intoxicating substances, or while tired, distracted, or impaired.

  • Attention must be paid when using the machines, headphones are not recommended.

  • Only one operator per machine unless otherwise instructed by staff.

  • Members must follow all safety signage, staff instructions, and operational guidelines.

4. Equipment Use, PPE & Hazard Awareness

  • Use only equipment you are trained and authorized to operate.

  • Use tools only for their intended purpose and ensure guards and safety devices are in place.

  • Wear required Personal Protective Equipment (PPE), including eye and hearing protection where applicable.

  • Personal power tools may not be used unless approved by the lab supervisor.

  • Never bypass safety features or engage in horseplay.

  • Members must remain alert, keep work areas tidy, and immediately report unsafe conditions.

5. Cleanliness, Storage & Housekeeping

  • Members must clean workspaces immediately after use and return tools and materials to their proper locations.

  • Floors, aisles, and exits must remain clear of obstructions.

  • There is no long-term storage at RIF. Items left longer than one month may be discarded or donated.

  • RIF is not responsible for lost, stolen, or damaged personal property.

  • Members may be fined for dumping large items.

6. Guests, Youth & Animals

Guests

  • One guest per member (unless approved by staff).

  • Guests must be over age 8, escorted at all times, and reported to the lab supervisor on arrival.

  • Guests may not use tools.

  • Members assume all liability for their guests.

Youth

  • Children under 8 are not permitted unless part of an organized program.

  • Ages 8–15 must be accompanied by an adult member and may not operate equipment unassisted.

  • Ages 16–18 may hold a membership with completed parental/guardian waiver.

Animals

  • Dogs are not permitted, except registered service animals.

7. Incident Reporting, Complaints & Enforcement

  • All accidents, injuries, near-misses, and unsafe conditions must be reported immediately to the lab supervisor.

  • Any person may make a complaint under this Code against any member/visitor for misconduct. A complaint must be addressed in writing to RIF staff at  info@revelstokeideafactory.com and shall contain:

    • The basis for the allegation;

    • Relevant supporting documents, evidence and details (e.g. time and date(s) of the offence);

    • Any other individual(s) with knowledge; and names of witnesses, if any.

    • Whenever possible and appropriate, reasonable and informal measures shall be used to resolve issues of individual behaviour.

    • Upon receipt of a complaint, staff shall determine whether or not the complaint material supports a case that an offence has been committed. If no offence appears to have been made, no further steps are taken in relation to the complaint.

    In the event that staff determine that the material supports a case, they shall convene a meeting with the respondent(s) to discuss the complaint and their response to the allegations.

    Following the meeting, staff shall determine whether there is sufficient evidence to support a finding that the member/user has committed an offence, and if so, will determine which disposition will be most appropriate in the circumstances:

    • Informal resolution (resolution of the complaint is mutually agreed upon among staff, the complainant and the respondent); or referral to the staff member on duty.

    • If an informal disposition of the complaint results, such disposition shall be final, and there shall be no subsequent proceedings.

      Where  an informal resolution cannot be reached, the case shall be submitted to the board of RIF for evaluation to determine options for a resolution.

  • Corrective actions may include warnings, suspension, refusal of service, or termination of membership.

  • Serious incidents may be reported to regulatory authorities as required.

8. Confidentiality and Privacy

  • Revelstoke Idea Factory does not sell or share personal information.

  • All personal information is handled in accordance with British Columbia’s Personal Information Protection Act (PIPA).

  • Personal information includes identifiable details such as contact information, identification numbers, photographs, demographic information, and financial records.

  • RIF informs individuals why their personal information is being collected and the legal authority for doing so.

  • Personal information may be collected for purposes such as memberships, programs and services, payments and donations, feedback, and marketing materials.

  • Personal information is used only for the purposes for which it was collected.

  • Information is disclosed only as permitted by law or when required to deliver services on RIF’s behalf, with compliance to applicable privacy legislation.

  • Reasonable physical, technical, and operational safeguards are used to protect personal information.

  • Personal information is retained only as long as necessary, with a minimum one-year retention if used to make a decision affecting a member.

  • Personal information is securely destroyed when no longer required, with annual data reviews overseen by the board.

  • RIF strives to keep personal information accurate and up to date.

  • Individuals have the right to access their personal information and request corrections.

  • Video surveillance is used for safety and operational improvement.

  • Surveillance footage is retained for a maximum of seven days and then destroyed.

  • Members may request access to video footage involving them and will be notified if any unauthorized access or disclosure occurs.

9. Commercial Production

  • A Revelstoke Idea Factory membership does not automatically allow for production level fabrication. If you are looking to scale your project, please contact us -  we will endeavour to work with you to create a plan that meets your needs. 

  • If Revelstoke Idea Factory becomes aware of production level work being performed without prior consultation, we may charge a fee for excessive use to cover associated excess costs.

10. Invoices

Please send invoices to with the title "Invoice: <Full Name/Business Name>" to info@revelstokeideafactory.com

Required Information

Invoices must contain the following:

  • Contractor Full Name or (Business Name & CRA Business Number if applicable)

  • Email Address (for e-transfer)

  • Invoice Number

  • Date of invoice (Month, Day, Year)

  • Itemized list of tasks/duties performed with dates and/or classes taught with dates

  • Total invoice amount

Timelines

Invoices must be received within 30 days of work performed.

Payments are made via e-transfer two weeks of receiving an approved invoice. Alternative payment methods may require approval and additional processing times.

Final Note

By entering or using Revelstoke Idea Factory facilities, all members and guests agree to comply with these policies and all directions from RIF staff and board members.
